Key Responsibilities:

  • Collaborate closely with Account Managers to coordinate and submit service orders to general contractors.
  • Prepare accurate and detailed show service estimates for new builds and upcoming projects.
  • Track, document, and execute claims with general contractors and vendors as directed by the Account Manager.
  • Order and manage Certificates of Insurance (COI) for shows when required.
  • Maintain organized, up-to-date records of all show service orders, invoices, and documentation.
  • Communicate proactively with internal teams to ensure accuracy, alignment, and on-time execution.
  • Support the Account Management team with administrative and coordination tasks to ensure smooth project delivery and client satisfaction.


Non-Negotiables:

  • 1-3 years of experience in trade show coordination, project management, or administrative support (or a strong related background).
  • Exceptional attention to detail you catch what others miss.
  • Strong written and verbal communication you keep things clear, concise, and professional.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with project management tools is a plus.
  • Ability to juggle multiple deadlines and thrive in a fast-moving, collaborative environment.
  • A team player who takes ownership and loves bringing structure to chaos.

Nice-to-haves:

  • Experience with Oracle NetSuite or similar ERP systems.
  • Familiarity with trade show logistics, contractor coordination, or COI processes.
  • A creative problem-solver mindset you dont just react; you anticipate.
